Engineering the software behind ambitious businesses.

Professional Services

When the client experience is delivered by email, it does not scale.

Client portals, onboarding journeys, scheduling, document workflows, billing and knowledge automation — so senior time goes into the work rather than the coordination around it.

Overview

The bottleneck is usually coordination, not capacity.

In most professional services firms, the constraint is not how fast the work gets done. It is the chasing: documents that have not arrived, approvals that are sitting in an inbox, clients who do not know what is required of them next.

That coordination load falls disproportionately on the people whose time is most valuable, and it grows faster than headcount.

Structured onboarding, a client-facing surface and document workflow typically remove more cost than any productivity tool, because they change who does the chasing.

Who we build for

The teams inside this sector we work with.

01

Accounting & advisory

Firms managing recurring compliance cycles, document collection and multi-stage review.

02

Legal & consulting

Practices coordinating matters, engagements, documents and approvals across teams and clients.

03

Agencies & specialist firms

Businesses running project-based delivery with proposals, scope, milestones and billing.

04

Business services

Organizations with structured client onboarding, ongoing service delivery and reporting obligations.

Challenges

Common friction, and what we do about it.

Every engagement starts from a specific operational problem rather than a product we are trying to place.

Onboarding a client means a long email thread

A structured digital onboarding journey with checklists, document upload, progress visibility and automated reminders.

Documents are chased manually and repeatedly

Request tracking with automated follow-up and a client view showing exactly what is still outstanding.

Client questions interrupt delivery work

A client portal covering status, documents, history and the questions that generate most of the interruptions.

Scheduling runs on back-and-forth availability emails

Booking against real availability with confirmations, reminders and rescheduling.

Billing is reconstructed at month end

Time and milestone capture linked to the engagement record, feeding invoicing directly.

What we build

Capabilities that fit this sector.

01

Client portals

Secure access to status, documents, requests, history and communication.

02

Onboarding workflows

Structured intake with checklists, verification steps, document collection and progress tracking.

03

CRM & pipeline

Lead-to-client journeys with proposals, scope, conversion and relationship history.

04

Document workflow

Requests, versioning, review, approval, e-signature and retention.

05

Scheduling

Availability, booking, confirmations, reminders and calendar integration.

06

Billing & reporting

Time and milestone capture, invoicing, and reporting on utilisation and delivery.

Artificial intelligence

Where AI earns its place here.

Applications with a credible return in this sector — each one wrapped in human review, defined data boundaries and an audit trail.

AI

Knowledge assistants

A grounded assistant over your precedents, policies and past engagements that answers with citations — reducing the “who knows about this?” messages.

AI

Document summarisation

First-pass summarisation and extraction from client documents, always reviewed by a person before it informs advice.

AI

Intake triage

Classification and routing of incoming requests to the right team with the right priority, with confidence thresholds and human override.

Example architecture

What a typical engagement looks like.

Example solution architecture

Structured onboarding with a client-facing surface

A client portal over the engagement record: onboarding checklists that drive document requests, automated reminders for what is outstanding, review and approval workflow internally, and visible status for the client. Scheduling and e-signature sit in the same journey, and time or milestone capture flows into invoicing without a month-end reconstruction.

Questions

Straight answers.

Usually yes. The portal and workflow layer is most valuable as a client-facing and coordination surface over the system that already holds your engagement and billing data.

Client portals and workflow tooling are typically Laravel or .NET, chosen for roles, business logic and integration depth. Where the public marketing site is the main need, that is usually WordPress — and the two can share a design system so they feel like one brand.

Some will not, and the design has to accept that — email fallbacks, magic-link access rather than passwords, and a path for staff to act on a client's behalf. Adoption is a design problem, not a client failing.

Permissions are modelled around the engagement, access is logged, and retention is defined explicitly. We build to your obligations rather than assuming a generic standard.

Only with defined data boundaries, permission-aware retrieval and human review before anything informs advice. We settle those constraints before building, and will advise against it where the risk is not justified.
